If productivity advice has started to feel heavy – like something you should be able to handle by now – you’re not alone. For many entrepreneurs, the constant messaging to “do more,” plan harder, and push through creates the opposite of clarity. Instead of momentum, it leads to overwhelm, shutdown, and a quiet sense that something must be wrong with you.

The tension isn’t a lack of discipline or motivation. It’s the pressure to carry everything at once – ideas, tasks, responsibilities, decisions without enough internal space to breathe. When productivity is framed as force, it asks your nervous system to perform under stress, and that’s rarely sustainable. Especially if you’re already managing emotional load, burnout, or financial uncertainty.

This conversation offers a different reframe. Productivity doesn’t begin with better habits or bigger plans – it begins with reducing internal pressure. By releasing what you’re holding in your head and choosing a more supportive way to create clarity, productivity can become calmer, simpler, and far more doable. Not because you changed who you are but because you stopped asking yourself to operate from overwhelm.

Why New Year Productivity Pressure Leads to Shutdown

Welcome back to our final episode of 2025. We are talking about productivity. This time of the year, with New Year’s pressure, everyone is like, set big goals, do more, create your vision board, start stronger, create the new habit, be disciplined.

If you’re already carrying the emotional load of life, entrepreneurial burnout, and juggling all the things, that pressure isn’t motivating. You might get hyped up for a minute, but it’s not sustainable—and we shut down. Before we go any farther, you need to remember, you’re not a project to fix. You’re not broken. There’s nothing wrong with you.

You do not have to go into January trying to become a different version of yourself overnight. You might not need a different version of yourself at all.

What Sustainable Productivity Actually Requires

Productivity isn’t about doing more. Sustainable productivity has a lot more to do with energy management, capacity awareness, clarity, and return on energy. When you simplify what you’re doing, we can multiply your results.

We don’t necessarily have to be doing it all. This principle is the core of my unstoppable productivity that lives inside the Unstoppable Experience. It’s built around these principles, and we’re going to talk about the main one today.

A lot of productivity systems try to fit you into their system, which is why we talk principles here. It’s your life; it should be customized to you. Your brain was never designed to store everything you’re trying to hold. You’ve got ideas, work-related tasks, kids’ birthday parties you need to buy gifts for, logistics to juggle, reminders, loose ends, and client projects.

Trying to keep everything in your head can make you feel overwhelmed. You’re not overwhelmed because you’re not productive—it’s because you’re juggling all the balls inside your head.

How to Get Tasks Out of Your Head

We’re going to do something really simple: create a system to get it out of your head. This can be a pen and paper, but make it a specific pen and paper. You can’t just write on random sticky notes because you’ll have sticky notes everywhere.

This could be a notes app on your phone, a to-do list on your AI, a document, or in ClickUp—a project management software. You can have a business one and a personal one, or use Google Tasks. We’ve got to get it out of your head.

You don’t need to plan, organize, or even prioritize yet. When something comes to your remembrance that you have to do, it can’t stay in your head. We’ve got to release the mental load you’re carrying.

Using Brain Dumps to Reduce Mental Overwhelm

End of the year is a really powerful time to brain dump in general: what’s worked, what hasn’t, what you love, and what you don’t. If you like to talk it out, use a voice note on your phone or write it out. It could be big or little things—even just “don’t forget this” items.

We need a system. This will evolve over time. My personal system has both personal and business lists. Personal is a Google Task List called Daily Actions. When I remember something, it goes on the list, which is accessible from both my computer and phone.

I’ve tried hands-free options like my Alexa, but it didn’t work for me because the habit to check that list wasn’t built in. Some things were still getting missed.

We need something that works for you at home and on the go. That’s why I like the Google Task List for my personal life.

Creating a Supportive System for Work and Life

For business, we’ve tried notes and now use ClickUp. If it’s a podcast idea or social media post, sometimes I email myself, but if I don’t move on it within a couple weeks, I release the pressure to come back to it.

Keeping a massive content bank of ideas wasn’t serving me because I never revisited them.

So, creating a system is the one task to go into the New Year with. It will make everything else so much more effective because you’ll be able to breathe and take rest.

Choosing Tools That Fit Your Capacity

What feels good for you? Pen and paper? I still use my paper calendar, but most of my system is now digital because it fits my life. I update some things weekly on paper, but for on-the-go, I needed something electronic.

When you have an idea, you need to be able to write it down and move it as needed. Once everything is outside your head, you can see and evaluate: does this actually matter—or can it wait?

Clarity comes not from elaborate planning, but from not carrying it all alone. Even if it’s just a system.

If you’ve got all that handled and wonder what’s next, ask: what’s the next step that makes you feel successful today? What supports you today?

One Grounded Step Forward

There are people who plan their whole year, or the next three to five years, or the next quarter. But if you’re not that person, don’t feel that pressure. One small, doable, grounded action step that moves you forward is all that’s needed.

If you’re in stress, fear, or overwhelm, you can’t implement a 47-step plan, but you can stop carrying it all mentally and choose one next step.

Reframing the New Year Without Pressure

If productivity has felt overwhelming, emotional, or heavy, it’s not because you don’t know what to do or lack discipline. It’s because you’ve been carrying too much for too long.
